Privacy Policy

SwatiLabs LLP ("SwatiLabs", "we", "our", or "us") is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store, and disclose information when you use FieldOps365 and related services.

1. Information We Collect

We collect the following categories of information:

  • Account information: Your name, work email address, phone number, company name, and GST identification number provided at registration. Your phone number is also used to deliver WhatsApp messages as described in Section 7.
  • Operational data: Work orders, job records, vendor and agent profiles, invoices, and other content you create or upload while using the Service.
  • Usage data: Log data including IP addresses, browser type, pages accessed, and timestamps, used to maintain service security and improve performance.
  • Payment information: Billing details required to process subscriptions. Card details are handled directly by our payment processor (Razorpay) and are not stored on our servers.
  • Communications: Emails or messages you send to our support team.

2. How We Use Your Information

We use the information collected to:

  • Provide, operate, and improve the FieldOps365 platform.
  • Process payments and manage your subscription.
  • Send transactional emails such as account confirmations, work order notifications, and billing alerts.
  • Send transactional WhatsApp messages such as login verification codes, work order assignment and status alerts, and proof-of-completion review notifications (see Section 7).
  • Respond to support requests and communicate service updates.
  • Detect, investigate, and prevent fraudulent or illegal activity.
  • Comply with applicable legal obligations.

3. Data Sharing

We do not sell your personal data to third parties. We may share information with:

  • Service providers: Trusted vendors who help us operate the platform, such as cloud hosting providers, email delivery services (ZeptoMail), media storage (Cloudinary), payment processors (Razorpay), and — on our public website only, and only if you consent — web analytics providers (Google Analytics, Microsoft Clarity). These providers are contractually bound to protect your data.
  • Legal requirements: Government or regulatory authorities when required by law, court order, or in response to a valid legal process.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, your data may be transferred subject to equivalent privacy protections.

4. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Upon termination or cancellation of your subscription, your data is retained for 90 days to allow for data export requests, after which it is permanently deleted. Certain records may be retained longer where required by law (e.g. GST invoicing records under Indian tax law).

5. Data Security

We implement industry-standard security measures including encrypted data transmission (HTTPS/TLS), access controls, and regular security reviews. While we take reasonable precautions, no system is entirely immune to security risks. We encourage you to use strong passwords and keep your login credentials confidential.

6. Cookies and Tracking

FieldOps365 uses browser localStorage to maintain your login session within the platform. This is required for the Service to function and is not subject to the consent described below.

On our public website (home, FAQ, login, signup, and legal pages — not the authenticated application) we use two optional analytics tools to understand how visitors find and use the site, including where they drop off before completing signup:

  • Google Analytics 4 — page views, approximate location (derived from IP address, at city level), traffic sources, and the sequence of pages visited.
  • Microsoft Clarity — session recordings, heatmaps, and click/scroll behaviour on public pages, used to identify points of confusion or friction.

Neither tool is used for advertising, and neither is active until you accept the cookie banner shown on your first visit — declining, or not responding, means neither tool loads. You can change your choice at any time by clearing your browser's local storage for this site. See Google's Privacy Policy and Microsoft Clarity's terms for how each processes data on our behalf.

7. WhatsApp Business Messaging

FieldOps365 uses the WhatsApp Business Platform, operated by Meta, to send time-sensitive, business-initiated messages to the mobile number registered on your account. These messages are limited to:

  • Login verification codes (OTP) for field agents and vendors.
  • Work order assignment and status update notifications.
  • Proof-of-completion submissions requiring admin review.

These messages use Meta's pre-approved message templates and are sent only where a phone number has been provided and WhatsApp has been selected or used as a delivery channel. We do not send marketing or promotional messages over WhatsApp. To deliver these messages, Meta processes your phone number and message content on our behalf as a data processor, under Meta's WhatsApp Business Platform Cloud API Terms and Meta Privacy Policy. If you would prefer an alternate delivery channel (email, SMS, or in-app only), contact us at the address in Section 11 or ask your account admin to update your notification preference.

8. Your Rights

You have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your personal data, subject to legal retention obligations.
  • Export your operational data via the platform's built-in export functionality.
  • Withdraw consent for marketing communications at any time by unsubscribing.

9. Children's Privacy

FieldOps365 is intended for use by business organisations and is not directed at individuals under 18 years of age. We do not knowingly collect personal information from minors.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a prominent notice within the platform. Your continued use of the Service after any change constitutes your acceptance of the updated policy.
